Tips
Be specific about which mailbox. If you have access to shared mailboxes, specify which one you want your agent to work with. Defaulting to your primary mailbox is usually correct, but shared inboxes for support or sales need to be called out explicitly.
Use folder-based workflows. Moving messages into specific folders after processing them creates a clear record of what has been handled. Your agent can create folders on the fly if they do not exist, keeping your organizational system flexible.
Draft before sending for sensitive emails. For outreach to clients or external contacts, have your agent create a draft instead of sending immediately. You review the draft, make any edits, and then trigger the send. This adds a human checkpoint for high-stakes communication.
Time zones matter for scheduling. When your agent suggests meeting times or sends time-sensitive messages, make sure it knows your time zone. Include it in your instructions or set it as a default in your workflow configuration. Outlook stores times in UTC, and your agent converts them.
